Position: Administrative Assistant to the President

Description:
A progressive company is looking for a candidate with strong administrative skills to the position of Assistant to the President. The company is located at Weston Road and Finch area, Mississauga.

Job role:
• Provide exceptional administrative and ongoing support to the President
• Schedule appointments: organize and coordinate meetings and prepare the relevant minutes; prepare correspondence; distribute communications; proactive follow-up on outstanding items
• Screen requests for executive time to determine priority level, including visitors, phone calls and incoming mail Handle employee/customer requests and concerns with tact and diplomacy
• Create and maintain confidential filing systems and up-to date contact information
Draft, proofread and edit documents/business proposals/business contract; liaise with individuals to obtain information and accuracy
• Coordinate and follow-up on travel arrangements
• Create and produce reports as required
• Coordinate corporate events and social agendas
• Manage ad-hoc projects as required
• Assist with organizing company events such as concerts, parties etc.

Skills Required:
• Exceptional and professional written and verbal English, as well as Cantonese and Mandarin
• Good interpersonal skills and initiative
• Multi-tasking capabilities, strong sense of urgency
• Self-motivated; ability to work and meet tight deadlines with minimal supervision
• Proactive, mature and pleasant disposition with the ability to relate to anyone
• Humble, personable, compassionate, and maintains composure at all times
• Advanced computer skills - Word, Excel PowerPoint and Outlook, internet and general office equipment
Qualifications:
• English, Cantonese and Mandarin
• Graduate preferably with Administrative Diplomas or Certificate
• 3-5 years administrative experience to senior level manager and customer service/public relations experience in a fast-paced and demanding environment
• Legal secretarial background will be an asset.
